Terms & Conditions

How a booking is made, what is included in a quote, what happens if plans change, and where each side stands if something goes wrong.

  • Last updated 17 September 2026

  • Applies to plannexjourney.com

The quote is the price

What your confirmed quote lists is what you pay. Inclusions are written out in full.

Nothing booked in the dark

A trip is confirmed only when you have it from us in writing.

Cancellation set out first

Supplier deadlines and charges are shared before you pay anything.

Under Indian law

These terms are governed by Indian law and the courts named below.

In short
  • A price on this website is a starting point. The quotation we send you is the offer, and it says exactly what is included.
  • A booking is confirmed when we have your written acceptance and the deposit stated on that quotation.
  • Cancellation charges rise as the departure date approaches and are set out on every quotation before you pay.
  • Valid passports, visas and insurance are your responsibility. We help with all three, but we cannot guarantee a visa.

01About these terms

These terms apply to every holiday, group departure, event programme and corporate travel arrangement booked through Plannex Journeys. By accepting a quotation or paying a deposit you agree to them on behalf of everyone named on the booking, so please make sure the other travellers have seen them.

Where a corporate or MICE client has a separate written agreement with us, that agreement takes precedence on any point where the two differ.

02Enquiries and quotations

Package prices are not shown on this website. The packages are there to help you compare routes and inclusions, not to book from. Airfares, hotel rates and exchange rates move daily, and the exact figure for your dates and your group will be in the quotation we send you.

A quotation sets out the itinerary, what is included, what is not, the price, the payment schedule and the cancellation terms that apply to that specific trip. It is valid for the period stated on it, and the price is not held until a deposit is received, because we cannot hold airline seats or hotel rooms without one.

03Booking and payment

Your booking is confirmed when we have received your written acceptance of the quotation, the details of every traveller, and the deposit stated on the quotation. We then issue a confirmation listing what has been booked.

The balance is due by the date on your quotation, which for most trips is some weeks before departure and for peak-season or international trips may be earlier. If the balance is not paid by that date we may treat the booking as cancelled by you, and the cancellation charges in section 05 apply. Some airline fares and hotel rates must be paid in full at the time of booking; where that is the case the quotation will say so.

We accept bank transfer, UPI and card payments through our payment provider. Card payments may carry the provider’s charge, which will be shown before you pay.

04Prices and changes to them

Once your booking is confirmed and the deposit paid, we will not change the price of the land arrangements except for changes in government taxes, levies or fees that come into force after confirmation. International airfares and any element quoted in foreign currency remain subject to the airline’s fare rules and to the exchange rate on the day of payment, and the quotation will say which elements those are.

If a price increase would be significant we will tell you before it applies, and you may cancel without charge if you prefer.

05Cancellation and refunds

If you need to cancel, tell us in writing. The date we receive your notice is the date the cancellation takes effect. Charges rise as the departure date approaches, because our own suppliers charge us on the same basis, and the exact schedule for your trip is set out on your quotation before you pay anything.

In every case:

  • Any charge already imposed on us by an airline, hotel, cruise line or other supplier is passed on in full.
  • Visa fees, insurance premiums and any non-refundable element named on the quotation are not refundable once incurred.
  • Refunds are made to the account the payment came from, within the period stated on the quotation after we receive the supplier refund.
  • Unused services during a trip, such as a missed excursion or an early departure, are not refundable.

If we have to cancel a trip for a reason within our control, you may choose a full refund of what you have paid us or an alternative trip of a similar standard. Where the reason is outside our control, see section 09.

06Changes to a booking

Changes you ask for

We will do our best to make any change you ask for after confirmation. Some are free, some carry a supplier charge, and some, such as a name change on an airline ticket, are treated by the airline as a cancellation and rebooking. We will tell you the cost before making the change.

Changes we make

Occasionally a hotel overbooks, a flight schedule moves or a road closes. Where that happens we will substitute an arrangement of a similar or higher standard at no extra cost, and tell you as soon as we know. If the change is significant and you would rather not travel, you may cancel and receive a full refund of what you have paid us.

07Passports, visas and health

Every traveller must hold a passport valid for the period the destination requires, with enough blank pages, and any visa the destination requires. Our visa desk will prepare and file applications for you and tell you what is needed, but the decision belongs to the issuing authority. No visa can be guaranteed, by us or by anyone else. If a visa is refused, the cancellation charges in section 05 apply, less any element we are able to recover.

You are responsible for meeting any vaccination or health entry requirement, and for telling us about any medical condition that could affect your trip so that we can plan for it. We will keep that information confidential.

08Travel insurance

We strongly recommend travel insurance for every trip, and require it for international travel and for any trip involving adventure activities. It should cover medical treatment abroad, cancellation, delay, and loss of baggage. We can arrange a policy for you. If you choose to travel without insurance, you do so at your own risk and we cannot be responsible for costs that insurance would have covered.

09Our responsibility

We plan, contract and operate your trip, and we take responsibility for doing that with reasonable skill and care. Where we have failed to do so and you have suffered loss as a result, we will compensate you for that loss, up to the price you paid us for the trip.

Airlines, hotels and other suppliers provide their services under their own conditions, which you accept when you use them. Where a supplier’s liability is limited by law or an international convention, ours is limited to the same extent.

We are not responsible for loss caused by events beyond our reasonable control, including severe weather, natural disaster, epidemic, strike, civil unrest, war, government action, airport or border closure, or the failure of a public utility. In those circumstances we will do what we reasonably can to help, and refund anything we are able to recover from suppliers, but we cannot refund costs we have already incurred on your behalf.

10Your responsibility

  • Give us accurate details for every traveller. Names must match passports exactly, and we cannot be responsible for a ticket issued in the wrong name if the wrong name was given to us.
  • Read your itinerary and confirmation, and tell us straight away if anything is wrong.
  • Arrive at airports, stations and meeting points at the times we give you.
  • Follow the reasonable instructions of guides, drivers and hotel staff, and the laws and customs of the places you visit.
  • Pay directly for any damage you cause to property, and for any expense a supplier incurs because of your behaviour.

If your behaviour puts other travellers, staff or property at risk, we or a supplier may end your participation in the trip, and no refund will be due.

11If something goes wrong

Tell us while you are travelling, not after you get home. Your consultant’s number answers throughout the trip, and most problems can be fixed on the day if we know about them. If a problem is not resolved to your satisfaction, write to us within a reasonable time of your return with the details and we will investigate and respond.

12Governing law

These terms and every booking made under them are governed by the laws of India. Any dispute that we cannot resolve between us will be subject to the exclusive jurisdiction of the competent courts in India.
