We never sell your data

Your details are never sold, rented or handed to anyone for their advertising.

Shared only to travel

Only the airlines, hotels and authorities your own trip actually needs.

Yours to control

Ask what we hold, have it corrected, or have it deleted, at any time.

Under Indian law

Handled under the Digital Personal Data Protection Act, 2023.

In short
  • We collect what we need to plan and book your travel, and nothing we do not.
  • Your details go to the airlines, hotels and visa authorities involved in your trip, and to nobody else.
  • We never sell your information or use it for anyone else’s advertising.
  • You can ask us at any time what we hold, to correct it, or to delete it.

01Who we are

Plannex Journeys is a travel management company based in India. We plan and operate customised holidays, group departures, MICE programmes and corporate travel. In this policy, “we” and “us” mean Plannex Journeys.

This policy explains how we handle personal information about you, whether you enquire through this website, by phone, on WhatsApp, by email, or through a company that has arranged travel for you.

02What we collect

When you enquire

The enquiry forms on this site ask for your name, phone number and email address, plus details of the trip you have in mind: where, when, for how many people, a rough budget, the standard of hotel you prefer, and anything you choose to write in the message box. Corporate and MICE enquiries also ask for your company name, your role, and the size and shape of the programme.

When you book

Once you decide to travel with us we will need what the airlines, hotels and authorities need. That usually means the full name, date of birth and passport details of each traveller, and for international trips the documents a visa application requires. If you tell us about a dietary need, a medical condition or a mobility requirement so that we can arrange the trip properly, we treat that information with extra care and use it only for that purpose.

Payment

Payments are made by bank transfer, UPI or through a payment provider. We do not store card numbers on our own systems. The payment provider handles those under its own privacy policy.

When you visit the website

The website itself collects very little. It does not run advertising or analytics trackers. See section 09 and our Cookie Policy for exactly what is stored in your browser.

03How we use it

We use your information to:

  • Reply to your enquiry and put together a proposal or itinerary.
  • Make and manage bookings with airlines, hotels, transport providers and other suppliers.
  • Prepare and file visa applications where you have asked us to.
  • Arrange travel insurance and foreign exchange where you have asked us to.
  • Reach you before and during your trip with confirmations, changes, and anything urgent.
  • Keep the records that tax, accounting and consumer law require us to keep.
  • Tell you about our own journeys and offers, but only if you have said we may, and you can stop this at any time.

Where the law asks for a legal basis, we rely on the fact that we need the information to carry out the service you have asked for, on our legal obligations, and on your consent where we have asked for it.

04Who we share it with

A trip cannot be booked without passing your details to the people who provide it. We share information with:

  • Airlines, hotels, cruise lines, transport companies, guides and local operators that form part of your itinerary.
  • Embassies, consulates and visa processing centres, when we file a visa on your behalf.
  • Insurers, when we arrange travel insurance for you.
  • Authorised foreign exchange dealers, when we arrange currency for you.
  • Payment providers and banks, to process what you pay us.
  • Our professional advisers, and authorities where the law requires it.

Each of these receives only what it needs for its part of the trip. We do not sell your information, and we do not give it to other companies for their marketing.

05Sending data abroad

If you travel outside India, your booking details necessarily go to hotels, operators and authorities in the country you are visiting, and to airlines that may be based elsewhere. Those organisations are bound by the laws of their own countries, which may differ from India’s. We send only what the booking needs and only to organisations involved in your trip.

06How long we keep it

We keep enquiry details for as long as we are in conversation with you about a trip, and for a reasonable period afterwards in case you come back to it. Booking and payment records are kept for as long as Indian tax and accounting law requires, which is longer. Passport copies and visa documents are deleted once they are no longer needed for the trip and any related claim or dispute.

If you ask us to delete your information, we will, unless a legal obligation requires us to keep a particular record.

07How we protect it

Your information is held on password-protected systems that only the people planning and running your trip can reach. Documents are shared with suppliers through secure channels. We do not store payment card numbers. If something ever goes wrong with the security of your information, we will tell you and the relevant authority as the law requires.

08Your rights

Under the Digital Personal Data Protection Act, 2023 and related Indian law, you can:

  • Ask what personal information we hold about you and how we are using it.
  • Ask us to correct anything that is wrong or out of date.
  • Ask us to delete your information, subject to records we are legally required to keep.
  • Withdraw consent you have given, for example to marketing messages, at any time.
  • Nominate someone to exercise these rights for you if you are unable to.
  • Raise a grievance with us, and if you are not satisfied with our response, with the Data Protection Board of India.

To exercise any of these, contact our grievance officer at info@plannexjourney.com. We aim to respond within the time the law allows and usually much sooner.

09Cookies and this website

This website does not use advertising or analytics cookies. A small technical value may be kept in your browser’s local storage to make scrolling smoother, and the fonts on the site are loaded from Google Fonts, which means Google receives the request your browser makes for them. Full details, and how to control any of this in your browser, are in our Cookie Policy.

10Children

We collect details of children only when a parent or guardian is booking travel for them, and only what the booking needs. We do not knowingly collect information from a child directly.

11Changes to this policy

We will update this policy when our practices or the law change. The date at the top tells you when it was last revised. If a change materially affects how we use information you have already given us, we will tell you directly.
